The job card is the spine
- โ Estimate, customer approval, work in progress, quality check, ready, invoiced. Nothing skips a step and the illegal moves are refused with a message that says what to do instead
- โ The customer authorises an amount, not just a job. Work cannot start on a job card worth more than the figure they signed for, so the awkward call happens before the spanner comes out, not after
- โ A printed job card with the authorisation wording and a signature box, which is what you hand across the counter before the vehicle goes on the ramp
- โ Complaint, diagnosis and work done kept as three separate pieces of text, because that is how a warranty claim and a comeback are argued
The vehicle, not just the customer
- โ VIN, plate, make, model, year, engine code and size, fuel, transmission, drive, colour, kerb weight and tyre size
- โ Odometer history as its own record, one reading per visit, and a reading that goes backwards is refused unless somebody marks it a correction
- โ One customer, several vehicles. One vehicle, a full history of every job, every inspection and every certificate
- โ Key and immobiliser codes are held on the vehicle behind a group, not written on the job sheet
The inspection sheet is what sells the work
- โ A check sheet per template: service, pre test, vehicle health check, sale preparation
- โ Red, amber or green per item, with a measurement and a note. A red or amber item is refused without one, because "brakes: amber" on its own sells nothing
- โ Each advisory carries the operation it needs and what that operation costs at your labour rate
- โ The customer accepts the items they want and those become labour lines on the open job in one click
- โ Upsell value, accepted value and conversion rate per inspection, per technician and per month
Labour, time and recovery
- โ Labour is priced at flat rate hours from your own operation list, times the workshop hourly rate, with a discount and tax per line
- โ Technicians clock on and clock off against the job and, where it matters, against the individual operation
- โ Efficiency is sold hours over clocked hours, per operation, per job and per technician. Recovery is sold hours against attended hours
- โ A technician can only be clocked on to one thing at a time, which is what makes the numbers mean anything
Parts off the shelf
- โ Parts come off the job card as a delivery from the workshop stock location, so the shelf and the accounts agree
- โ Availability shown per line before the job starts, so nobody strips a car for a part that is on back order
- โ Supplier reference and parts warranty months held on the line, and the warranty end date is what tells you whether a comeback is a claim
Warranty and comebacks
- โ A warranty job carries its reason: manufacturer, parts supplier, our own workmanship, goodwill or a policy
- โ A comeback is raised from the original job, keeps the link, and carries its own reason code
- โ Rework is therefore visible as a number rather than as a feeling, split by reason and by technician
Reminders that fire on whichever comes first
- โ A reminder carries a due date and a due odometer. It fires on whichever arrives first, which is how servicing actually works
- โ Intervals come from the operation where the operation has one, for example a cambelt every five years or one hundred thousand kilometres, and from the company default otherwise
- โ Passing the quality check rolls the reminder forward from the reading taken on the day
Roadworthiness and the regulator
- โ A test record per certificate: MOT, ITV, Fahes, TUV, contro tecnico and the rest, with the scheme named on the record
- โ Test date, expiry, result, certificate number, tester and the odometer at test, with advisories and defects kept apart
- โ Only a tester with a licence number on file can be named on a certificate
- โ A daily job emails the owners whose certificate expires inside the window you set
