Built for an operator running one building or ten: a coworking space, a serviced office, a managed workspace floor inside somebody else's building. Runs on Odoo Community.
What there is to sell
- โ Every seat and every room is a record with a rate on it. A hot desk bank is one record with as many seats as it has chairs, so twenty four people can book it at once and the twenty fifth is refused. A meeting room is one record with the seats round the table, and nobody else gets it while it is booked. Phone booths, private offices and the event space work the same way, with their own hourly and daily rates, their own minimum booking, and a turnaround gap between meetings so the room can be reset.
- โ Amenities are recorded per room and printed on the booking confirmation. A room advertised as having video conferencing and then not having it is the fastest way to lose a renewal.
Membership plans and who pays
- โ A plan is a monthly fee and what comes with it: meeting room credits, a printing allowance, guest day passes, and the hours the member can get in. Members sit on a plan at a building. They either pay for themselves or sit under a company account, where one company pays for several people and gets one invoice a month.
- โ The member record carries the access card number, the emergency contact, the desk they have been given and the credits they have left this month. Card numbers and next of kin are limited to the people who need them, because a name and a card number together is all anybody needs to walk in.
Bookings that behave
- โ A booking checks that the space is free, honours the turnaround between meetings, refuses more people than there are seats, refuses a room outside the hours the building is open unless the member is on a 24/7 plan, and refuses a booking further ahead than the diary is open.
- โ Credits are spent before any money is charged. When they run out the booking is priced at the plan's overage rate, and that overage is what lands on the monthly invoice. Cancel in good time and the credits come back. Cancel inside the window, or fail to turn up at all, and the slot is charged at the percentage the operator sets, because the room sat empty either way.
- โ Spaces can be marked as needing approval. Worth switching on for an event space, where a Saturday booking means somebody has to open the building.
Who is in the building
- โ Members badge in and out. The open visits are the live head count per building, which is the occupancy figure at the front desk and the fire roll call at the same time. An hourly job closes visits nobody badged out of, so the number still means something in the morning.
- โ Day passes cover the rest: a walk-in paying at the desk, a member's guest coming off the plan's guest passes, or a company's visitor going on the monthly bill.
Registered address and the post
- โ A registered office or trading address is a service in its own right, with the exact legal name and company number of the entity using the address. In most countries the operator carries a statutory duty to know, and to be able to show, who is using its address. The service records which identity document was seen, by whom and when, and refuses to go live until it has been. A document that expires suspends the service, because the duty is continuous rather than a formality at sign-up.
- โ Every letter and parcel is logged against the company it was addressed to, with who collected it and when. On court papers and tax letters that record is the whole service.
One invoice a month
- โ The billing run gathers the month: plan fees, meeting room time past the credits, printing over the allowance, add-ons such as parking, lockers and mail handling, day passes put on account, and any late cancellation or no show charges. It raises one invoice per payer, stamps every source record so nothing is billed twice, and resets the monthly allowances.
The figures an operator is judged on
- โ Desk occupancy against desk capacity, per building and against a target. Revenue per square metre against the property cost per square metre, so a busy building can be told apart from a profitable one. Average revenue per member. Room utilisation over the last thirty days, which is what tells you whether to build another meeting room or sell the one you have harder. And a revenue analysis that splits the money into membership, rooms, add-ons and day passes, which is the split most operators never measure.
