Built for a plant hire yard, a tool hire shop, an access platform fleet or a site services depot. Every machine is a unit with a serial number, a meter and a history, not a stock quantity. Runs on Odoo Community.
The fleet
- โ One record per physical unit, with its serial number, make, model, year and registration where the machine goes on the road
- โ An hour meter or a kilometre meter per unit, whichever the category uses, with the reading carried from one hire to the next
- โ Purchase date and purchase value held against the unit, so the yard can see what a machine has earned against what it cost
- โ Depots with their own yard location, so you know which site a machine is standing on
- โ Status that means something: available, reserved, out on hire, in the workshop, quarantined, retired
Rates the way the trade quotes them
- โ Hourly, daily, weekly and four weekly rates on one card
- โ The cheapest applicable rate wins for the period hired. Five days on a hundred and twenty a day is not six hundred, it is the week rate, and the system works that out for you rather than leaving it to whoever is on the desk
- โ Minimum hire period per rate card, because nobody hires a breaker for an hour
- โ A card per category, an override per unit, and a negotiated card per customer
- โ Seasonal validity dates, so next season's card can sit ready without disturbing this season's quotes
Hiring a machine out
- โ A contract with a hire period, a delivery and a collection
- โ Availability checked across the whole date range before a unit is reserved, including the workshop bookings, so a machine cannot be promised twice
- โ Double booking is refused outright, not warned about
- โ Condition recorded at hand-over, with the meter reading and the note that settles the argument on return
- โ Delivery and collection charged separately from the hire
Off-hire, overuse and damage
- โ Off-hire records the meter on return. Anything beyond the included allowance for the days hired is charged at the overuse rate
- โ Damage assessed against the condition written down at hand-over, with the repair cost, whether it is chargeable and where the photographs are filed
- โ The security deposit is taken on hand-over and released on off-hire, in full or in part, and a partial retention will not go through without a reason
- โ Late return penalty on the days past the agreed return, after whatever grace the company allows
Workshop and certificates
- โ Servicing, repairs and inspections between hires, each taking the unit out of availability for its window
- โ Service due by meter reading, not by guesswork
- โ A statutory inspection certificate per unit: LOLER thorough examination at six or twelve months, PUWER, PAT, pressure vessel and the local equivalents
- โ An expired certificate blocks the machine going out, and the yard sees what is expiring before the inspector is due
What the fleet is earning
- โ Utilisation per unit: days on hire against days owned
- โ Revenue per unit against its purchase value, so you know what has paid for itself
- โ The units earning nothing, on one screen, which is the list that pays for the system
- โ Requires Odoo 19 Community with Inventory and Accounting.
