Built for an events agency, a wedding planner, a caterer who sells packages, or a venue that runs its own functions. Runs on Odoo Community.
The diary is the system
- โ An event with a type, a venue, a layout, a date, a guest number and a status that moves from enquiry through to a closed file
- โ Two events cannot be booked into the same room inside the venue turnaround, because a hall that has to be stripped and reset is not free the minute the last guest leaves
- โ A venue with more than one function suite says so, and the check counts against that
- โ Venue access time worked back from the layout set up hours, so the crew call is a real time rather than a guess
- โ A curfew held against the finish time, with an extension flag for the nights the venue has agreed in writing
Packages priced the way the trade sells them
- โ Per head, or a flat fee for a marquee job
- โ A contracted minimum headcount, so a party that shrinks still pays for what was booked
- โ Inclusions listed under the package with what each one costs us, which is what tells you whether the package makes money before you sell it forty times
- โ Quoting an event turns those inclusions into an estimated budget, grouped by heading
Suppliers, and the paperwork they have to hold
- โ Quotes requested and quotes accepted, one accepted supplier per heading
- โ Public liability insurance and trade licence expiry dates on the supplier record, with a job that flags them before they lapse
- โ A quote cannot be accepted from a supplier whose cover has run out, and a suspended supplier cannot take new work
- โ Notice period per supplier, so a booking made inside it is flagged as late
- โ An accepted quote lands on the event budget as the committed cost against what was budgeted for that heading
The day itself
- โ A run sheet of timed cues, each with an owner and a place, and the cues that cannot slip marked as such
- โ Actual start times recorded against the plan, so the debrief has a number on it instead of an argument
- โ A staffing roster drawn up from the guest numbers using the ratio on each role: one waiter per twelve, one head waiter per sixty, one event manager whatever the numbers
- โ Call times per role, check in on arrival, and no shows recorded
- โ Somebody whose personal licence or certificate has expired cannot be put on a shift that needs one
Guests, seating and the kitchen
- โ A guest list with RSVP, seats per line, age group and dietary requirement
- โ Tables with a capacity that refuses to seat more than it holds
- โ Dietary totals added up for the kitchen and printed on the run sheet and the seating plan
- โ A final numbers deadline worked back from the event date, with a job that asks the client for the headcount when it passes
Money
- โ Payment milestones with due dates, a deposit that holds the date, and a refusal to confirm an event until that deposit is in
- โ Stage invoices raised into Accounting against the package product, with the event tax
- โ A chase job for milestones past their due date and their grace period, and a list of which events are behind
- โ Budget lines with estimated against actual and the variance
- โ Gross margin per event after supplier cost and crew cost, reported by event type and by venue
Equipment
- โ Hire stock allocated to an event, with availability checked across the whole window rather than a single day
- โ Loaded out on the morning, booked back in afterwards, and an event that will not close with anything still on the van
- โ Anything that comes back broken or missing lands on the event budget at its replacement value
