Written for a facilities team that runs hard services on an estate: an in house maintenance department, a managing agent, or a contractor holding a total facilities management contract. Runs on Odoo Community.
The estate and what is in it
- โ Site, building, floor and space, so a fault is reported against a room rather than a description of a room
- โ An asset register with a parent and child tree: a compressor sits under a chiller, the chiller sits under the plant room package, and money spent on the compressor shows against the chiller
- โ Manufacturer, model, serial number, install and commissioning dates, warranty expiry, criticality and condition on every record
- โ Warranty expiry on the form, because a surprising amount of money is spent repairing plant that somebody else is still liable for
Planned maintenance that actually gets raised
- โ A schedule per asset on a calendar interval, on a meter reading, or on whichever comes first, which is what most manufacturers' warranties say
- โ Meter readings per asset with the movement between them, so a run hour service interval turns into a date you can plan labour against
- โ Jobs raised a set number of days ahead of the due date, so there is time to order the parts and book the access
- โ Statutory inspection intervals held on the asset class, the certificate reference recorded on completion, and the next examination date falling out of it automatically
Reactive work and the clocks
- โ A fault report becomes a work order with a priority, and the priority picks up the service level agreement
- โ Two clocks on every job, one for response and one for resolution, each with its own breach flag and each reported separately, because they are separately contracted
- โ Cover hours honoured: a four hour target on a nine to five contract does not run overnight, which is the usual reason an SLA report argues with the contractor's own report
- โ Time spent waiting for a part or for access is banked, and whether it comes off the resolution clock is a setting
People, permits and paperwork
- โ Technicians with skills and a competence card that has to be in date
- โ Contractors with the trades they are on the books for, the sites they are contracted to cover, and an insurance expiry that blocks assignment before the certificate runs out rather than after
- โ Approving a firm and recording its public liability cover is the facility manager's job, not the help desk's, so the people the block stops cannot lift it themselves
- โ Only an authorised person can issue a permit, and that is enforced on the record rather than on the button, so it holds against a direct write too
- โ Permit to work for hot work, confined space, electrical isolation, working at height and excavation, each demanding the controls its own type needs: a fire watch period, an atmosphere test and a standby person, an isolation point with lock and tag
- โ No permit, no start. Two live permits of the same type on one asset are refused outright
Money
- โ Spares issued from stock onto the job, with the movement recorded against the warehouse
- โ Labour booked in hours at the technician's rate or the contractor's, with an out of hours premium
- โ Lifetime cost per asset next to its replacement value, which is the number that decides repair against replace
- โ SLA performance per contractor, and the planned against reactive ratio per site, which is the number a facilities manager is judged on
- โ A vendor bill raised from what the job actually used
- โ Requires Odoo 19 Community with Inventory and Accounting.
