Built for a freight forwarder, an NVOCC or a customs broker. Air, sea full container, sea groupage and road all run through the same file, each with its own numbering. Runs on Odoo Community.
The job file
- โ One file per shipment, opened from a quotation or from scratch. It carries the customer, the shipper, the consignee and the notify party, the incoterm, the loading and discharge points, the trade lane and the salesperson it belongs to. The file number is drawn from a different series for each mode, so anybody reading a reference on a booking knows what they are looking at.
- โ Cargo goes on as lines with a tariff code, gross and net weight, dimensions and value. The file works out the volume from the case sizes, converts it to kilos using the divisor for the mode, and rates on the greater of the actual and the volumetric weight. Air uses six thousand cubic centimetres to the kilo, road three thousand, sea groupage a tonne to the cubic metre, and all three are settings rather than hard code because tariffs differ.
Bills, boxes and routing
- โ Master and house bills of lading, air waybills and CMR notes. One master per file and as many houses as the consolidation needs. Prepaid or collect, originals or a waybill, and a release that has to be recorded against something before the cargo moves. Issuing a house bill with no master behind it is refused.
- โ Containers carry the number, the seal, the type, the tare and the cargo weight, and the verified gross mass that follows from them. The container number is checked against its ISO 6346 check digit at the desk rather than at the gate at three in the morning. A box loaded over the payload for its type is refused, and a reefer without a set point will not load.
- โ Routing goes on as legs: pre-carriage, main carriage, transhipment and on-carriage, each with a carrier, a vessel and voyage or a flight number, an ETD and an ETA. Report the actual arrival and the file carries the delay, which is the number the customer asks about and the number a carrier review is built on.
Charges with two sides
- โ Every charge line has a cost side and a sell side, each in its own currency, and therefore a profit. Quantities come off the file by the basis on the charge code: per shipment, per container, per TEU, per chargeable kilo, per cubic metre, per bill or per declaration. Nobody retypes a tonnage onto a rate line.
- โ Sell lines become customer invoices, grouped by billing party and currency. Cost lines with a named supplier become vendor bills, grouped the same way. A charge behind a posted invoice cannot be edited, and a file cannot be closed while a sell line has never been billed or a supplier cost has never been booked.
Customs
- โ A declaration per file with the entry number, the customs office, the regime and the importer of record. Tariff lines are pulled from the cargo, one per HS code, and the freight and insurance actually charged on the file are brought into the customs value and apportioned across the lines by value. Duty comes off the tariff code, excise on top of it, and import VAT on the value plus the duty and the excise. An entry carrying restricted goods will not clear without a licence reference on it.
- โ Duty and import VAT are then disbursed onto the file as flagged lines, recharged pound for pound. They never touch the gross profit, which is the whole point of keeping them separate.
The money
- โ Gross profit per file, per trade lane and per salesperson, off the same charge lines the invoices are raised from. A file where cost has been accrued and nothing has been billed is flagged and chased, because that is where a forwarder's money quietly disappears. Files under the lane target margin are flagged as well. Business nominated by an overseas agent carries their profit share, calculated from the rate on the agent record.
Quotations
- โ Rates with a validity date, a transit time and the same two-sided lines the file uses. Won quotations open a file and carry the rates across, so the invoice and the quotation cannot disagree. Lost quotations need a reason. Rates past their validity are closed off by a scheduled job.
