What is in the ground
- โ Every underground tank carries its capacity, its dead stock and the safe fill line the driver is told about before the tanker turns up. Dip readings are records in their own right: the millimetres off the stick, the litres off the chart, the water depth and who took the reading. Each dip is frozen against the book stock at the moment it was taken, so a reading can still be argued about a month later. Water above the depth you set raises a warning, because water left in a tank rusts it and stalls cars on the forecourt.
Pumps, nozzles and the shift
- โ A pump carries its nozzles and each nozzle says which tank it draws from. Get that one field wrong and every wet stock figure on the site is wrong with it. Opening a shift pulls every nozzle and its current totaliser. At the end you put in the closing readings, the test litres that went into a measure and came back, and the shift works out litres sold per nozzle, per attendant and per grade.
- โ The reconciliation is the point of the whole thing. Fuel sold, plus the shop, less what went out on account, less card and wallet settlement, gives the cash that should be in the drawer. Against the cash actually counted that lands on an over or short figure. Past the tolerance the company sets, the supervisor cannot sign the shift off without writing down what happened.
Deliveries and wet stock
- โ A tanker delivery records the bill of lading, the tanker, the driver and the compartment seals. Observed litres are corrected for temperature using the density off the loading ticket, so warm fuel is not booked in as litres nobody paid for. Dip before the hose goes on and again once it comes off; the tank gain against the corrected litres is the only evidence a short delivery claim ever rests on. Posting the delivery puts the standard litres on the books and raises the bill against the terminal.
- โ Wet stock variance is opening dip, plus deliveries, less metered sales, against the closing dip. What is left over is what the site has lost or gained. It is reported in litres, as a percentage of throughput and in money at the pump price net of VAT. A period outside tolerance cannot be signed off without a cause: meter drift, a short delivery, water ingress, a dip error, a line leak or theft. That record is what an oil company audit or a regulator reads.
The price on the board
- โ Pump prices are a log, not a field. Each change carries the minute it takes effect, so a shift that spans a rise can still be valued line by line, and a mid shift change can be pushed onto the open shifts with one button. Duty is held as a flat amount per litre and VAT as a rate on top, which is the only way to read the real margin: pump price, less VAT, less duty, less landed cost. Cost and margin are visible to site managers and to nobody else.
Fleet and credit customers
- โ A haulier or a taxi firm fuels on account. Their vehicles are listed with the grade each one may take, the size of its tank and a monthly litre cap. A fill bigger than the tank holds is refused, and so is petrol into a diesel vehicle. Odometer readings come in with every fill and cannot run backwards. Discounts are quoted where the trade quotes them, in pence a litre. Accounts run to a credit limit the pumps hold you to, and the month closes with one statement invoice per account rather than a ticket at a time.
The forecourt shop
- โ Dry stock on the shelf is counted by the shop and compared against what Odoo says is in the warehouse. The gap is the shrinkage, and on small high value lines it is worth looking at. Shop sales go on the shift alongside the fuel, so the till reconciles against everything that was sold, not just the pumps.
Reports and jobs
- โ A shift reconciliation slip on 80mm paper, a goods received note with the temperature correction shown line by line, and a wet stock variance report laid out the way an oil company asks for it. Scheduled jobs build yesterday's variance per tank, chase shifts left open, flag water in a tank, flag a pump that has run past its calibration seal, chase card takings that have not settled, warn on shop lines running low and raise the monthly statements. All of them ship switched off; turn on the ones the site actually needs.
