Built for a solicitors' practice, a set of chambers or an in-house legal team. It runs the file from the first phone call to the day the bill is paid, and it keeps the client's money in a place the firm's money never touches. Runs on Odoo Community.
Nothing opens without a conflict check
- โ Type the names on both sides and search them against every file the firm holds, not just the ones the person searching happens to have rights over
- โ A match against an existing client is treated as serious, and so is the other side's name turning up as a client
- โ Every serious match has to be opened, decided and marked reviewed, and going ahead anyway needs a written reason
- โ The check is a record with a date, a searcher and its results, because two years later the only question asked is who ran it and what it found
- โ Client due diligence is enforced too: no identity evidence and no signed engagement letter, no matter number
The matter
- โ Practice area, responsible fee earner, supervising partner, court, claim number and the reference the other side quotes back at you
- โ Every party on the file with their role, the firm acting for them and their reference, which is what the next conflict search reads
- โ A document index per matter: what is on the file, which original the firm is holding and where it physically is, signed out and back in
- โ Hourly, fixed fee, capped, retainer or conditional, with the cap enforced at the point a bill would take the file past it
- โ A file will not close while there is unbilled work, an unpaid bill, an open key date or a penny of client money still held
The diary, and the date that ends the claim
- โ Hearings, filing deadlines, court directions, completions and file reviews
- โ One limitation date per file, proposed from the practice area's limitation period and then corrected by the fee earner
- โ A limitation date cannot be vacated and cannot be deleted while it is live
- โ A scheduled job raises an activity on the responsible fee earner months before the date runs out, and says how many days are left
Time recording
- โ Start and stop a timer, or type the hours in
- โ The rate comes off a rate card that works most specific first: a rate agreed with the client, then the department rate, then the fee earner's own. Old lines are kept, so a bill raised today for last year's work still comes out at last year's rate
- โ Rounded up to the firm's charging unit, normally six minutes
- โ A narrative the client can read, refused if it is too short to survive an assessment
- โ Non-billable time needs a reason, so the practice can see where the hours go
- โ A timer left running overnight is closed by a job and put back to draft
Write-offs and write-downs
- โ Take the whole entry off, or reduce what will be billed and keep what was recorded
- โ Every one needs a reason from a fixed list
- โ A write-off over the firm's limit needs a partner, and the entry says who approved it
- โ Written-off value stays visible, because realisation is only honest if the write-offs are
Disbursements, which are not income
- โ Recorded apart from fees, with their own types, taxes and recovery account
- โ Court fees, counsel, experts, searches and registry fees
- โ Paid out of office or out of the client account, and paying out of client money is refused if the client has not put enough on account
- โ Shown separately on the printed bill, because they are money laid out for the client and recovered pound for pound
Client money
- โ A ledger per client, kept entirely apart from the office accounts
- โ Money on account, payments out on the client's behalf, transfers to office and returns of balance
- โ The balance cannot go below nothing. A payment that would overdraw the account is refused at the point somebody tries to post it, and the rule is enforced again as a database constraint
- โ Money may only be transferred to office against a bill that has already been delivered, and only by the cashier or a partner
- โ A printed statement with the balance carried down, ready for a file review
Bills of costs
- โ Gather the unbilled time and disbursements off a file for a period
- โ Approve, then deliver, which raises and posts the invoice in Odoo accounting
- โ Fees post to the practice area's income account, disbursements to their own recovery account, so recovered outlay is never reported as turnover
- โ Money on account is drawn down against the delivered bill and shown on the face of it
- โ A posted invoice cannot be cancelled from behind: you are told to raise a credit note instead
- โ The printed bill shows professional fees, disbursements and tax apart from one another, with what is now payable after money on account
