Built for a commercial printer running litho, digital or both. It does the arithmetic an estimator does on paper, keeps the job ticket the pressroom works from, and tells you at the end of the week what the work actually cost against what it was quoted at. Runs on Odoo Community.
The estimate does the imposition
- โ Type in the finished size, the page count, the quantity, the colours front and back, the stock and the press. The estimate works out how many finished pieces fit on a press sheet, both ways round, with the gripper margin taken off and the bleed added on. From that it gets the number of forms, the net sheets, the running spoilage, the make-ready waste per plate, and the gross sheets you actually have to buy.
- โ It also checks the things that catch people out. A sheet that will not feed through the press is refused. A four colour job on a two unit press is refused. A saddle stitched book with a page count that is not a multiple of four is refused. And if the grain runs across the spine, it says so, because the fold will crack and the customer will send the whole delivery back.
Costing that separates the parts
- โ Paper, plates, ink, make-ready, run time and finishing are costed separately, so you can see which one is eating the job. Paper converts from a sheet price, a ream price or a tonne price. Plates are counted per form per colour, and a digital press has none. Ink is per colour per thousand sheets on litho and a click charge per printed side on toner. Make-ready is time on the press multiplied by the press hour rate, once per plate change. Run time is gross sheets divided by the real running speed, doubled when a non-perfecting press has to turn the stack.
- โ Finishing operations each carry a setup charge, a run rate and a material cost, on a per sheet, per copy or per job basis. Bought in work carries the trade finisher and their lead time, which moves the delivery date.
- โ Overhead comes on at a house percentage, and the sell price falls out of a target margin. Type over the price when the market says otherwise and the record tells you what margin you actually got.
The job ticket
- โ An approved estimate opens a ticket. It carries the specification onto the shop floor and walks through prepress, proofing, printing, finishing and despatch. The finishing operations come across with it and get booked off with the time they really took.
- โ Nothing goes on the press without an approved proof. The proof record holds the version, the file that went out, the method, the name of the person who approved it and the timestamp when they did. That record, and nothing else, is what settles an argument over a misprint six weeks later. Proofs that sit with the customer get chased automatically, and after two chases the account handler gets a call scheduled.
Spoilage and reprints
- โ Every sheet that goes in the bin is booked against a reason and a stage: prepress, make-ready, on press, finishing, material fault or a customer change. The cost is worked out properly, paper plus ink plus the press time it took to make the sheets, because spoilage costs far more than the paper and that is exactly why it gets under-reported.
- โ Reasons can be marked as forcing a reprint. A reprint opens as its own job against the original, so the second run is never buried in the first one's numbers, and a reprint cannot be raised until the spoilage that caused it has been written down.
Quantity tolerance
- โ A press run does not stop on the number. Set the tolerance the customer agreed to, and an over or under delivery inside that band is accepted and invoiced at what was actually delivered. Outside the band, despatch is refused with the figures in front of you, so somebody makes a decision rather than a delivery note making it for them.
