Hire equipment out on a sales order. The order carries a pickup date and a return date, each line is priced from the product's own rental table, and the order will not confirm if the units are already promised to somebody else.
The price table
- โ Every rentable product carries its own rates: so many hours, days, weeks or months for so much money
- โ The rate that covers the requested duration for the least money wins, so a ten day hire is charged as two weeks when that is cheaper than ten days
- โ Part periods round up to a whole block, which is how hire is quoted
- โ A rate priced at zero is ignored, so a half finished price list cannot give the goods away
Availability
- โ Units already promised to other confirmed rentals are counted for the exact window requested, not for the day
- โ Back to back hires do not clash: a return at ten o'clock frees the unit for a pickup at ten o'clock
- โ Confirming an order that oversells is refused, and the message names the product, the free quantity and the orders holding the rest
- โ The pool of units is either a fixed figure you set on the product or the quantity on hand
- โ A separate availability screen answers "have we got four of these next Tuesday" without touching an order
Out and back
- โ Pickup and return are recorded with the actual date, time and quantity, and each one leaves a movement record behind
- โ Partial pickups and partial returns are allowed and the line keeps track of what is still out
- โ A late return is charged from the same price table, with an optional penalty percentage on top, and the charge is added to the order as a line
- โ A schedule shows what goes out and what comes back, as a list or a calendar
Deposits
- โ A security deposit per unit, totalled on the order
- โ The deposit is invoiced on its own, then refunded by credit note with any late charge deducted
Overdue
- โ A scheduled action flags orders whose return date has passed and puts an activity on the order for whoever is following it, once, not every night
- โ Requires the Sales and Inventory apps.
