Built for a retail travel shop that sells air, hotels and tours, and for the tour operator behind it running fixed departures. Runs on Odoo Community.
The booking file
- โ Everything hangs off one file: its own reference, the airline PNR, the IATA agency code it was sold under, the consultant who sold it and the lead passenger. Travellers sit on the file with passport number, expiry, issuing country, nationality and date of birth, which is what the airline and the embassy will ask for.
- โ A file will not confirm when a traveller's passport expires inside six months of the departure date. Six months is the default and it is a setting, because some destinations want three and a few want none. The check names the person, not the file, so the consultant knows who to ring.
Itinerary segments
- โ Flight, hotel, transfer, activity, cruise, rail and insurance, each on its own segment with the supplier, the supplier's net cost, the sell price and the confirmation number the supplier gave you. Flights carry the carrier, flight number and class. Hotels carry the room type, the board basis and the nights, worked out from the dates.
- โ A segment cannot be confirmed without a confirmation number, because a segment with no locator is a segment nobody has actually booked.
Markup, commission and margin
- โ Markup is set per segment as a percentage or a fixed amount over net, or the consultant types the sell price straight in. Commission is the percentage the supplier pays you back on what you sold. Gross margin on a segment is the markup plus the commission, and the file rolls the segments up: total net, total sell, markup, commission, margin and margin percent.
- โ Margin also rolls up per consultant, next to their target and the commission they have earned on it.
Packages and fixed departures
- โ A package holds the itinerary, the inclusions, the nights and the per person cost and price. Departures hold the seats: how many the operator has, how many are minimum to guarantee the coach, how many are sold and the load factor. A file booked onto a departure cannot confirm more passengers than there are seats left, and a departure is guaranteed the moment it passes its minimum.
Visas
- โ A visa application per traveller per destination, with the document checklist copied from the country rule so nobody submits a file missing the bank statements. Appointment date, submission date, decision, visa number and the validity dates. The country rule carries the requirement type, the processing days, the fee and the standing note for that nationality.
Amendments and cancellations
- โ A fee schedule by how many days before departure the change comes in. The amendment picks the band, works out the agency fee and the supplier penalty, and shows the refund that is actually due back. Applying a cancellation cancels the segments, releases the seats on the departure and books the refund against the file.
Money
- โ Deposit and balance, with the balance date pulled back from the departure by the number of days the agency works to. What has been received sits against what is due, and a file with an unpaid balance will not be marked as travelled while the block is switched on. There is a nightly job that chases the ones that have gone past their balance date.
- โ Margin scheme VAT is supported for tour operators: the sale is invoiced without VAT lines, the VAT on the margin is worked out from the tax record you nominate, and it is written on the invoice for the accountant.
- โ Requires Odoo 19 Community with Accounting.
